How to Submit a Photoduplication Request

Use a finding aid or existing request to initiate requests or photocopies or scans in Aeon

There are a multiple methods that you may use to initiate a photoduplication request. Step-by-step instructions for each method are below.

The turnaround time varies based on the requested service(s). Please inform the staff if you are working with a specific deadline. While we are unable to guarantee a delivery date, staff make every effort to complete all requests as quickly as possible in the order requests are received.

Be sure to familiarize yourself with our duplication process and fees before initiating a request.

Step-by-Step Instructions

How to order photocopies or scans from a current or past request

Step 1

Sign into your Aeon account.

Step 2

Locate and select the drop down menu for “Request and Order Status”. Select the type of transaction you want to request for duplication; click it so that you see the detail page. If you are currently in the Reading Room it will be under “Current Requests.”

Step 3

If it is a current request select “Request Copy” if a past request select “Clone to Copy” at the top of the page; this will open a new Photoduplication Request form with the item information automatically completed.

Step 4

Review the required fields marked with a red asterisk and add information if needed.

Step 5

Select your preferred format for duplication:

  • Photocopy: Paper delivery
  • PDF: Electronic delivery of photocopies
  • JPEG/TIFF: High resolution scan(s) for publication or exhibit

Step 6

Check off all boxes that apply in regards to your duplication request (if applicable).

Step 7

To add details, special requests, questions or notes, use the Special Requests/Questions? field.

Step 8

Click Submit Request.

How to order photocopies or scans via UC Library Search

Step 1

Locate the item’s record in UC Library Search.

Step 2

Request the item, following the steps outlined in the “Request Materials” section of the Special Collections Request System (Aeon) page.

Step 3

When prompted, log in to your Aeon account.

Step 4

Click the “Switch to Duplication Form” button.

Step 5

You should now be viewing the Photoduplication Request form. Complete the required fields marked with a red asterisk.

Step 6

Review the form and select your preferred format for duplication:

  • Photocopy: Paper delivery
  • PDF: Electronic delivery of photocopies
  • JPEG/TIFF: High resolution scan(s) for publication or exhibit

Step 7

Check off all boxes that apply in regards to your duplication request (if applicable).

Step 8

To add details, special requests, questions or notes, use the “Special Requests/Questions?” field. 

Step 9

Click “Submit Request.”

How to order photocopies or scans via Online Archive of California (OAC)

Step 1

Locate the specific material you want from the finding aid on the Online Archive of California (OAC). Note the following information for manual entry in step 3:

  • Collection Name, Collection Number, Box/Folder 

Step 2

Log in to your Aeon account to place a new Photoduplication request.

Step 3

Complete the required fields marked with a red asterisk (as well as the box and folder number if applicable).

Step 4

Review the form and select your preferred format for duplication:

  • Photocopy: Paper delivery
  • PDF: Electronic delivery of photocopies
  • JPEG/TIFF: High resolution scan(s) for publication or exhibit

Step 5

Check off all boxes that apply in regards to your duplication request (if applicable).

Step 6

To add details, special requests, questions or notes, use the Special Requests/Questions? field. 

Step 7

Click “Submit Request.”
