Artificial Intelligence Policy
The UC Davis Library is committed to enabling open and transparent research. Library Graduate Student Prize applicants are encouraged to follow principles of open scholarship, transparency, reproducibility, replicability, and FAIR data (findable, accessible, interoperable, and reusable) in all aspects of their scholarly work, including when utilizing artificial intelligence tools.
The use of artificial intelligence tools, including generative AI, in submitted works and applications is allowed with some conditions, as detailed below. Generally, when using AI tools, Library Graduate Student Prize applicants are expected to:
- Report the use of any AI tools (guidelines for disclosure within the application are below)
- Use the tools according to legal requirements and ethical research guidelines (including protecting confidential and personal information)
- Review the outputs of any AI tools and ensure the content is accurate, valid and relevant
The Library Graduate Student Prize is intended to reward the outstanding work of UC Davis graduate students. Therefore, generative AI tools should not replace core researcher, author, artist or applicant responsibilities, ideas and perspectives. Applicants will remain responsible for the originality, validity and integrity of the content of their scholarly works and application materials, and are expected to present their own ideas and intellectual work.
Use of AI in the Scholarly Work
Applicants may use artificial intelligence tools within their submitted works. For example:
- As a part of the research methodology
- In generating text or media
- For editing or generally improving the scholarly work
Applicants are required to provide a brief explanation of any use of AI tools in the submitted scholarly work. This can be in any format and location appropriate to the work (e.g., within the Methods section, within the application materials, etc.). The explanation must include:
- The AI system(s) used, including the version, if applicable
- A short description of when, how, and to what extent the tool or tools were used.
Use of AI in Application Materials
Applicants may use artificial intelligence tools to help them develop and edit their application materials. If AI tools are used, applicants must provide the following information within their AI disclosure in the application form:
- The AI system(s) used, including the version, if applicable
- A description of where and how the tool(s) were used (e.g., translation, editing, grammar enhancement, or text creation)
- A confirmation that the application presents the applicant’s own ideas and intellectual work
If AI Was Not Used
If you did not use AI tools in your submitted materials, include this declaration in the Artificial Intelligence Disclosure section of the application form: “No AI tools/technologies were used to help develop or edit my application materials.“
