Placing Materials on Course Reserve
For Use by Instructors and Course Contact Persons
Reserve Services houses materials selected by faculty members as required or recommended reading for their courses. The materials which can be placed on Course Reserves include: books, journal or newspaper articles, book chapters, and videos & DVDs. Reserves maintains the library's media collection. In June 2009, Shields Reserves began managing all course video checkout services formerly handled by the Hart Media Distribution Lab. Materials formerly located in the Media Lab are listed in the Harvest UC Davis Library online catalog and Melvyl UC online catalog.
To support Course Reserves videos, viewing equipment is available in Room 163 just east of the Reserve Desk. Several viewing stations have 2 or 3 sets of headphones to allow several students to watch a video simultaneously. Two region-free DVD players are included in this viewing room.
Instructors are encouraged to make use of SmartSite (http://smartsite.ucdavis.edu) for electronic materials. If you wish to make a link to your print reserves listing in the Reserves Catalog from your class web page, please contact us and we can provide the wording for the link. We can also include a link to your class web page from the Reserves Catalog.
Deadlines
The Reserves Staff will accept materials from faculty members Monday through Friday, 8am to 5pm. To ensure Reserves readings are available to students by the beginning of classes, Reserves Lists must be received by the last Friday of:
- August for Fall Quarter
- November for Winter Quarter
- February for Spring Quarter
- May for Summer Session
Reserve Lists received after the deadline may take up to two weeks to process due to peak workload constraints at the beginning of the quarter and the delays involved in retrieving loaned material.
Please submit your Reserve Lists electronically via our on-line submission form (http://libcf.ucdavis.edu/reserves/booklist/?branch=M) (preferred). You may also print off the form and submit to Reserve Services in person, by mail, or by fax (530) 752‑7815.
Forms
Please read instructions before using the forms.
Use these forms for:
- Books/articles or DVD/VHS media owned by the UC Davis Libraries.
- Books/articles or DVD/VHS media you would like the Library to consider purchasing for reserves.
- Personal or departmental copies of books, media, or photocopies of articles.
- New Reserves List Submission Form

To expedite service, please provide as much detail regarding each requested item as possible:
- Edition: Reserves Services will place on reserve the latest edition owned by the library. If a different edition is required for your course, please note the edition and year on the Reserves Request Form.
- Loan Period: Please check either a 2-Hour, 3-Hour, 1-Day, or 3-Day loan period for each item.
- Permanent Reserve: If you would like the requested items to be permanently on reserve for your class, please choose "PERMANENT" when asked for quarter information. Titles on your Request List will be hosted permanently in Reserves.
If the library does not own the requested material, a collection development librarian will review the requested material for purchase and addition to the collection.
- Renew a Previous Reserve List

If you would like to renew a previous Reserve List, submit your request on our Reserve List Renewal Form. Be sure to specify which list (class, quarter and year) you would like renewed for use in the upcoming quarter.
Media
Reserves houses the library's media collection. Materials formerly located in Hart Hall are listed in the Harvest UC Davis Library online catalog and Melvyl UC online catalog. Some media titles are no longer available because of format or copyright standards. Please contact the Reserve desk at (530) 752‑2761 to determine availability. Some titles may need two business days in order to be retrieved from storage.
To request a DVD/VHS title on course reserves please use the Reserves Submission Form. Please read this FAQ to help you with questions for requesting media for your course.

Any material you place on reserve is governed by the provisions of U.S. copyright law. See the following library and campus pages on Copyright and Intellectual Policy, especially:

Personal Copy Material
Instructors may choose to place copies of personally-owned or departmental textbooks and other materials on Course Reserve. Please indicate on the Reserve Request Form if submitting personal copies.
Please note, Shields Library must abide by all U.S. copyright laws and campus policies. When placing personal copies of media on reserve, please ensure you have documented copyright permission for any derivative works in your collection (e.g. duplicated or burned DVDs or copied VHS tapes). If you need assistance in obtaining legal copies of your video material, consider the Undergraduate Instructional Improvement mini-grant (http://trc.ucdavis.edu/?page_id=59) offered by the Teaching Resources Center.
Note: When the library has an electronic ("licensed") subscription to a journal or book, use a stable (durable) url to link to the article from your online syllabus or the Reserves catalog. An unlimited number of students can access licensed copies from on or off campus and the link may be reused as long as the subscription is maintained.
